At I‑Koncepts Limited, trading as IFGlobal, we take your privacy seriously. This policy explains how we collect, use, disclose, and protect personal data related to our 3PL fulfilment services and BladePRO fulfilment software.

Effective Date: 1st July 2025

This Privacy Policy covers the information we collect about you when you use our products or services, or otherwise interact with us (for example, by attending our premises or events or by communicating with us), unless a different policy is displayed.

This policy also explains your choices surrounding how we use information about you, which include how you can object to certain uses of information about you and how you can access and update certain information about you.

If you do not agree with this policy, do not access or use our Services or interact with any other aspect of our business.

Where we provide the Services under contract with another organisation (for example, your employer), that organisation controls the information processed by the Services. . This policy does not apply to the extent we process personal information in the role of a processor on behalf of such organisations.

Our website is owned and operated by I-Koncepts Limited (trading as IFGlobal), a limited company registered in UK under company number 13084115, whose registered and trading address is IFGlobal, The Runway, Christchurch, Dorset BH23 4FL.

We are regulated in the UK by the Information Commissioners Office (ICO). We are members of UK Warehousing Association (UKWA).

What information we collect about you

We collect information about you when you provide it to us, when you use our Services, and when other sources provide it to us, as further described below.

Information you provide to us

We collect information about you when you input it into the Services or otherwise provide it directly to us.    

1.    Account and profile information

We collect information about you when you engage our Services, utilise our Products, set preferences, sign-up for or make purchases through the Services and/or Products. For example, you provide your contact information and, in some cases, billing information, when you engage our Services. We keep track of your preferences when you select settings or supply information within the Services and/or Products.

2.    Customer and client data

We collect contact details such as names, email addresses, telephone numbers and business addresses of your representatives and contacts. Additionally, we gather company information, including business names, VAT numbers, billing and shipping addresses, and details related to your account and contracts, such as service agreements and billing history.

3.    Product and fulfilment data

We handle detailed information about your inventory, including product SKUs, batch numbers, expiry dates, and specific handling instructions. We also collect shipping and delivery details, including recipient addresses, courier preferences, and tracking information.

4.    User data for BladePRO

When you use our BladePRO software, we collect information necessary for user account creation and management. This includes user profiles, login credentials, access permissions, and logs of system activity such as login times, device metadata, and IP addresses. We also gather usage analytics to understand how the software is used and to improve its features.

5.    Data from integrations

To facilitate seamless operations, we may collect data from your eCommerce platforms and marketplaces via integrations. This includes order details, customer information, product updates, and shipping status. We also receive information from third-party carriers and payment processors to manage shipments and billing.

6.    Communications data

We keep records of our communications with you, including emails, phone calls, chat messages, and support tickets, to provide timely assistance and maintain service quality.

7.    Cookies and tracking technologies

Our websites and software may use cookies and similar technologies to enhance user experience, support security, and gather analytical data.

How we use information we collect

We use the personal data we collect for the following purposes.

  • To provide and manage services

We use your information to manage your inventory, process orders, ship products, and deliver the features of our BladePRO software. This ensures accurate fulfilment, batch tracking, compliance with handling standards, and smooth software operation.

  • To support customers

Your information helps us respond to inquiries, provide onboarding support, troubleshoot issues, and maintain high service levels.

  • To improve our operations

We analyse usage data and operational metrics to optimise warehouse workflows and enhance the BladePRO software. We also use data to monitor security and prevent fraud.

  • For billing and legal compliance

Personal data is used to issue invoices, process payments, keep accurate financial records, and comply with applicable laws and regulations.

  • For marketing and communications

With your consent, we may send you newsletters, product updates, and company news. We may use your data to provide you with any information that you request from us relating to our products or services; to provide you with any information relating to other products that may be of interest to you, provided you have consented to receive such information. You can set your individual preferences and unsubscribe from these communications at any time.

How we disclose information we collect

We may share your personal data with third parties under the following circumstances.

  • With service providers

We engage trusted partners such as cloud hosting providers, payment processors, shipping carriers, software integrators, and customer support platforms. These providers have access to your information only to perform services on our behalf and are bound by confidentiality agreements.

  • To comply with legal obligations

We may disclose your data when required by law, regulation, or legal process, including audits and investigations.

  • Within our group

We may share information with other companies within the I-Koncepts Group to ensure seamless service delivery and operational coordination.

  • With your consent

We will share information with third parties only when you have authorised us to do so, such as for integrations with your other systems.

How we store and secure information we collect

We take appropriate technical and organisational measures to protect your personal data from unauthorized access, disclosure, alteration, or destruction. This includes storing data in secure UK and EU data centres, using encryption during transmission and storage, enforcing role-based access controls, and conducting regular security audits. We also maintain backup and disaster recovery processes to ensure business continuity.

By providing your personal data, you agree to its transfer, storage, and processing as described in this policy. We will take all reasonable steps to ensure that your information is held and transferred securely. However, please be aware that the internet is not completely secure, and we cannot guarantee the absolute security of data you send to us electronically. While we implement safeguards to protect your data, you provide it entirely at your own risk.

Data Storage Locations

We store personal and operational data on secure cloud infrastructure within the European Union. Specifically:

  • Google Cloud Platform (GCP): Data is stored in Belgium.

  • Microsoft (MS Azure): Data is stored within the EU region.

We choose our storage locations to align with applicable data protection laws and to ensure high standards of security, availability, and compliance.

How long we keep information

We retain your personal data only as long as necessary to provide our services and comply with legal and regulatory requirements.

Typically, customer and operational data are retained for the duration of your contract plus seven years to comply with tax and accounting rules. User activity logs and system records are kept for up to 24 months for security and compliance purposes. Marketing data is retained until you unsubscribe or after 24 months of inactivity.

How to access and control your information

Under applicable data protection laws, you have certain rights regarding your personal data. These include the right to:

  • Access the personal data we hold about you.
  • Request correction of any inaccurate or incomplete data.
  • Request deletion of your data, subject to legal obligations.
  • Object to or restrict processing of your data in certain circumstances.
  • Request the transfer of your data in a portable format.
  • Withdraw consent for marketing communications at any time.

In accordance with the Data Protection Act 2018 you have the right to write to us and request access any information that we hold relating to you. We reserve the right to charge a fee to cover costs incurred in providing you with this information.

Your choices and rights

Depending on where you live, you may have specific rights under local data protection laws regarding your personal information. These rights may include the ability to:

  • Access information we hold about you
  • Request a copy of your personal data
  • Correct, update, or delete your information
  • Restrict or object to how we use your data (including for marketing)
  • Request data in a portable format
  • Opt out of targeted advertising and certain profiling activities
  • Opt out of the “sale” or “sharing” of personal data, as defined by applicable law

You can exercise some of these choices directly within your IFGlobal Client Portal in the account settings. For other requests, contact us using the details in the Contact Us section below. If your access to our Products and/or Services is managed by an organisation (such as your employer), you may need to contact your administrator to fulfil certain requests.

  • Access, Update, or Delete Your Information

    Our Products and Services allow you to access and edit parts of your personal data, such as your profile details and preferences, through your account settings. If you’d like to delete content associated with your account, such as files or profile data, you can often do so directly within the platform. Please note that we may retain some information where legally required or where we have a legitimate business reason to do so (such as preventing fraud or complying with tax requirements).
  • Deactivate your account

    If you no longer wish to use IFGlobal Products and/or Services, you or your administrator can deactivate your account in your account settings. If you’re unable to do this yourself, please reach out to your account administrator or contact us. Keep in mind that deactivating your account doesn’t automatically delete your data; any content you’ve previously created may still be visible to others unless it is actively removed.
  • Withdraw consent or object to use

    Where we rely on your consent to process data, you can withdraw that consent at any time. If you believe we are using your data without appropriate justification, you can object and request that we stop processing it. We'll review all such requests and take appropriate action, including restricting access while we assess the issue. Please note that objections may be limited if data is needed to meet our legal obligations or legitimate interests.
  • Opt out of communications

    You can opt out of receiving promotional emails by clicking the "unsubscribe" link in those emails or updating your email preferences within your account. Even if you opt out of marketing, you’ll still receive essential service messages related to Product and/or Services, your account or transactions.
  • Opt out of targeted advertising

    Where allowed by law, you can opt out of personalised or targeted advertising. You may do so by visiting the following industry-supported sites: http://www.aboutads.info, http://optout.networkadvertising.org, http://www.youronlinechoices.eu.

    You can also enable Global Privacy Control (GPC) in your browser to signal your preference to opt out of targeted advertising and the sale or sharing of personal information. Learn more at https://globalprivacycontrol.org.
  • Cookies and tracking technologies

    You can control cookie preferences through your browser settings or device-level controls.
  • Do Not Track (DNT) signals

    While some browsers offer a “Do Not Track” (DNT) setting, our systems currently do not respond to all DNT signals. However, we honour GPC signals and offer various ways to control your data preferences, as detailed above.
  • Data portability

    In some cases, you can request that we provide your personal data in a structured, machine-readable format that you can transfer to another service provider. This typically applies to basic account information and any content under your sole control.
  • Appeals and complaints

    If you're not satisfied with how we’ve handled your request, you may have the right to appeal our decision or lodge a complaint with your local data protection authority. You can also contact us directly to escalate concerns. See the Contact Us section for details.

How we transfer information internationally

Some of the personal data we process may be transferred to and stored in countries outside the UK and European Economic Area (EEA). Whenever we do so, we ensure appropriate safeguards are in place to protect your data in accordance with applicable laws, such as using Standard Contractual Clauses approved by the European Commission.

Our company logos, brands, and service names are registered trademarks of the Company and are not to be used without our explicit permission.
  • User-generated content
    If you post content such as comments, reviews, or other submissions on our websites, you are solely responsible for the content you provide. Any content you submit must comply with all applicable laws and must not infringe on the rights of others. You agree that any content you contribute may be used by us under a non-exclusive license for purposes including marketing, promotional activities, or publication on other platforms.

You must not use our websites or services in any manner that:

  1. Is illegal or unlawful or encourages illegal or unlawful conduct;
  2. Is likely to damage the reputation of James and James Fulfilment Company;
  3. Contains inappropriate, obscene, or offensive material;
  4. Infringes upon the copyrights, trademarks, or other intellectual property rights of any person or entity;
  5. Includes advertising, promotional content, or self-promotion without our prior consent.

We reserve the right to remove or refuse any user content that violates these terms or is otherwise inappropriate.

  • Changes in business ownership or control
    From time to time, I-Koncepts Group Limited (including IFGlobal) may undergo changes in its business structure. This can include the sale, merger, or transfer of all or part of the business or its assets. If any such transaction occurs, any personal data you have provided that is relevant to the part of the business being transferred may also be transferred to the new owner or controlling party.

The new owner or controlling party will be bound by the terms of this Privacy Policy and will use your personal data only for the purposes for which it was originally collected. Where appropriate, we will notify you directly about any significant changes relating to the handling or ownership of your personal data as a result of such a transaction.

  • Our policy towards children
    Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If we discover that we have inadvertently collected personal data from a child under 18, we will take immediate steps to delete that information from our systems. If you become aware that a child under 18 has provided us with personal data, please contact our DPO or support team so that we can promptly address the issue.
  • Notice to end-users
    Many of our products and services are intended for use by organisations, such as your employer or business. When you access our services through an organisation, that organisation acts as the administrator and is responsible for managing the accounts and services it controls.

    If you use the Services via an organisation, please direct any data privacy questions or concerns to your organisation’s administrator. Your use of the Services in this case is subject to your organisation’s policies, and we are not responsible for the privacy or security practices of the administrator’s organisation, which may differ from this Privacy Policy.

Administrators typically have the ability to:

  • Require you to reset your account password
  • Restrict, suspend, or terminate your access to the Services
  • Access information stored in and about your account
  • Access or retain information stored as part of your account
  • Install or uninstall third-party apps or integrations

In some cases, administrators may also be able to:

  • Change the email address associated with your account
  • Modify your profile information
  • Restrict your ability to edit, modify, or delete information within the Product or Service

Even if your account is not currently managed by an organisation, if you belong to a team or group administered by an organisation, or if you use an email address provided by an organisation (such as a work email) to access the Product and/or Services, that organisation may assert administrative control over your account or use of the Product and/or Services in the future. If this occurs, you will be notified.

If you do not want an administrator to have control over your account, you should deactivate your usage in the relevant Product and/or Service. If an administrator has not yet asserted control over your account, you can update the email address associated with your account through your profile settings. Once administrative control is asserted, changes to your email or certain account settings may require administrator approval.

  • EU–US, Swiss–US, and UK extension data privacy framework

    I-Koncepts Group Limited complies with the EU–U.S. Data Privacy Framework (EU–U.S. DPF), the UK Extension to the EU–U.S. DPF, and the Swiss–U.S. Data Privacy Framework (Swiss–U.S. DPF), as set forth by the U.S. Department of Commerce.

    We have certified to the U.S. Department of Commerce that we adhere to the principles outlined in these frameworks regarding the collection, use, and retention of personal data transferred from the European Union, the United Kingdom (including Gibraltar), and Switzerland to the United States. These principles provide a legal mechanism for the transfer of personal data in compliance with data protection regulations in those jurisdictions.

    If there is any conflict between the terms of this Privacy Policy and the applicable Data Privacy Framework Principles, the Principles will take precedence.
